This document reflects the platform operational specifications and UK GDPR data architecture. Business subscriber schedules and tenant-specific policies supersede standard operational schedules where agreed in writing.
This Worker Privacy Notice explains how personal data of field service technicians, operatives, and subcontractors is collected, used, and protected when using the Pro TeamX platform and mobile application.
1. Information Collected from Field Workers
Profile Data: Name, email address, mobile phone number, profile photo, emergency contact details, and worker classification (employee or subcontractor).
Working Records: Shift schedules, job assignments, clock-in and clock-out timestamps, break durations, and absence requests.
Job Documentation: Service checklists completed, notes submitted, and before-and-after job photos taken through the mobile application.
Compensation & Banking: Pay rates, hours worked, timesheet adjustments, and subcontractor payment receipts.
2. GPS Tracking & Monitoring Boundaries
Tenant Owner Configuration: Worker GPS location tracking is an administrative feature controlled by your employer’s Tenant Owner. If your employer disables location tracking in company settings, no GPS telemetry is gathered at all.
Active Shift Bounds: When enabled by your employer, Pro TeamX collects background and foreground GPS location telemetry strictly while you are clocked in on an active shift (ATTENDANCE, SHIFT, JOB, TRAVEL).
Immediate Clock-Out Termination: Tracking begins upon clock-in and terminates automatically the instant you clock out or complete your shift. The mobile background task halts immediately upon clock-out.
Zero Off-Duty Tracking: Pro TeamX does NOT track worker locations when off-duty, on unpaid breaks, before clock-in, or after logging out.
Configurable Retention: Historical GPS telemetry is retained strictly according to your employer’s configured retention policy (between 7 and 365 days, default 90 days), after which records are permanently purged nightly by the platform retention worker.
3. Purposes and Who Can View Your Data
Employer Purpose: Location telemetry is utilized by your employer for on-site arrival verification, travel time calculation, route dispatch optimization, and lone-worker safety oversight.
Access Controls: Only authorized office personnel (Owners, Administrators, Dispatchers, and Managers) within your employer’s workspace have access to live location feeds and historical breadcrumbs.
Client Confidentiality: End clients NEVER receive raw worker GPS coordinates or personal contact phone numbers; they receive only automated job status notifications (such as "Technician en route").
4. Worker Rights & Inquiries
You have the right to inspect your timesheet history, request corrections to erroneous logs, and obtain an export of your personal operational data under UK GDPR Article 20.
Any workplace concerns regarding monitoring practices should first be raised with your employer as Data Controller. You may also contact Pro TeamX support or the Information Commissioner’s Office (ICO).
